Job Title: Admin Support Officer

General Purpose
Reporting to the Operations Support Manager, keep precise records of incoming and outgoing payments for an organization including arranging payment requests, making payments for services, verifying accounts payable and receivable, and researching financial account activity, among other duties and maintaining credit base of Budget Rent a Car.
Key Tasks and Responsibilities
• Dealing with customer enquiries about the availability and cost of vehicles
• Attend to customer query on invoice charging or charge disputes
• Organize filing system for important and confidential company documents
• Preparation of meal allowances for chauffeur drivers
• Preparation of client fuel logs for customer queries
• Charging of additional charges after rentals are complete
• Liasing with banks on charge-back and pre-auth enquiries
• Closing rental invoices on rent works with correct charges being applied
• Posting of rental invoices on titan after correct charges being charged on rent works
• Preparing regular financial and administrative reports weekly
• Reporting Budget Exception Report AFN701
• Updating Business Report for Port Moresby Branch during month ends
• BRAC Monthly EFTPOS Transaction Report.
• Preparing SBR Reports for Budget Avis Australia
• Providing POM Branch business report
Education and Training
• Grade 12 certificate or higher
• Certificate or Diploma in Business
Knowledge and Experience
• Basic administration and maintenance skills with experience
• Strong Microsoft skills preferred (Outlook, Excel, PowerPoint, Word)
• Strong communication and interpersonal skills
• Customer Service oriented
• Ability to work independently and as part of a team

• Effective communications skills through emails, telephone and also with colleagues
• Must be a fast learner and ability to complete task on time
• Ability to multitask and prioritize workload effectively
• Must be able to plan and organize work daily responsibilities

Working Conditions
• The POM Admin Support is required to work flexibly according to the operations of the business with a standard of 84 hours per fortnight.
• Additional hours will be paid depending on the nature of the job carried out and should be approved by the Operations Support Manager or the General Manager prior to doing additional hours at work
